The Urban Botanist – Trade Terms & Conditions

By placing a wholesale (trade) order with The Urban Botanist, you agree to the following Terms & Conditions:

1. Eligibility & Minimum Order

1.1 Trade orders are available exclusively to registered businesses (e.g. retailers, florists, event agencies).

1.2 The minimum order value is £250 net (excluding VAT).

1.3 Orders below £250 net will not be accepted.

1.4 By placing an order, you confirm that you are acting on behalf of a business and not as a consumer.

2. Prices & Payment Terms

2.1 All prices are quoted net, exclusive of VAT.

2.2 Full payment is required before dispatch. We do not offer credit terms.

2.3 Payment can be made by bank transfer or secure payment link (card, Google Pay, Apple Pay).

2.4 A VAT invoice will be automatically issued upon receipt of payment.

3. Processing & Delivery

3.1 Orders are usually dispatched within 3 working days of full payment.

3.2 Clients may request a preferred delivery date, which we will honour where possible.

3.3 Free delivery is included on all trade orders above £250 net.

3.4 Delivery is via next-day courier service. Collection from our warehouse is also possible by arrangement.

3.5 For large orders, delivery may be made on pallets.

4. Packaging & Branding

4.1 All items are supplied with The Urban Botanist branding.

4.2 Unbranded (white label) orders may be possible on request, subject to longer lead times and higher costs.

5. Returns, Damage & Claims

5.1 Due to the perishable and handmade nature of our products, we do not accept returns.

5.2 All items must be inspected immediately upon delivery.

5.3 Any damages or shortages must be reported within 48 hours, including photos of the affected product(s) and packaging.

5.4 Glass items are fragile – while we pack carefully, damage may occur.

Couriers do not insure glass, so any transit damage will be reviewed on a case-by-case basis.

We are not liable for damage caused after unpacking or planting.

5.5 Variations in plant shape, size, or container finish are natural and not considered faults.

6. Ownership & Title

6.1 All goods remain the property of The Urban Botanist until full payment has been received and cleared.

6.2 Risk passes to the buyer upon delivery.

7. Cancellations

7.1 Trade orders cannot be cancelled once confirmed, unless agreed in writing.

7.2 Cancellations may incur restocking or admin fees at our discretion.

8. Force Majeure

8.1 We are not liable for any delays or failure to fulfil orders due to circumstances beyond our control, including but not limited to:

pandemics, strikes, transport issues, natural disasters, or actions by government or customs authorities.

9. Liability

9.1 Our liability is strictly limited to the value of the goods supplied.

9.2 We are not liable for any indirect losses (e.g. loss of profits, lost sales, or reputational damage).

10. Data Protection

10.1 We collect only essential contact details to process your order.

10.2 All data is handled in accordance with UK GDPR.

10.3 We do not share, sell or use your data for third-party marketing.

11. Governing Law

11.1 These Terms & Conditions are governed by the laws of England and Wales.

11.2 Any disputes will be subject to the exclusive jurisdiction of the English courts.
